Position Summary

Reporting to the Director of People and Culture, the HRIS and Administrative Specialist will be part of a team of HR professionals working together to create, implement and delivery HR programs and services to enhance the organizational culture and cultivate employee engagement. Responsibilities include but is not limited to administrative support in areas of HRIS database management, HR operations, staff development/training, benefits administration, payroll support, record keeping, and DEIJ (Diversity, Equity, Inclusion and Justice) initiatives.

Essential Functions

  • Oversees and maintains optimal function of HR information systems and provides technical support and guidance to employees
  • Manages permissions, access, and settings for HR information system users
  • Assists and responds to internal HR-related inquires or requests
  • Administers all benefit enrollments, changes, and terminations in HRIS system and with benefit vendors
  • Monitors COBRA notifications and ensures compliance
  • Manages administrative tasks for new hire procedures including the audit of new hire information in HRIS for accuracy and compliance and creating new employee personnel files
  • Collaborates with the Recruitment and Onboarding Specialist in the monitoring and updating of annual training calendar for employees, including assigning trainings in HR information system to employees
  • Regularly audits HR information system for accuracy
  • Collaborates with Payroll team in development, administration, and maintenance of all HR and Payroll activities and documents
  • Collaborates with Human Resources department to develop organizational and employment policies, procedures, handbooks, and programs
  • In coordination with the Human Resources department, manages, tracks, and assesses the organization’s evaluation process and works with supervisors to guide them through the process
  • Manages HR department operations including developing and documenting HR team policies/procedures, tracking team projects, and maintenance of personnel records
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law
  • Assists with recurring or special projects as assigned

  • Working understanding of human resource principles, practices, and procedures
  • Awareness of OSHA regulations and compliance
  • Ability to operationalize concepts into programs, policies, procedures
  • Ability to analyze HR information system’s performance metrics and resolve application issues, create reports, and learn new systems as needed
  • Proficient with Microsoft Office Suite
  • Ability to conduct oneself and interact with employees with professionalism and to maintain confidentiality

  • Three or more years’ experience working in human resources or administrative position
  • Experience managing HR information systems, preferably Paycom
  • Experience working with collective bargaining agreements in a unionized workplace preferred
  • Experience collaborating on the development and promotion of Diversity, Equity, Inclusion, and Justice initiatives preferred
  • Experience with supporting payroll activities preferred

Supervisory Responsibilities

This position is not responsible for supervising other staff members.
