Position Summary

Reporting to the Carewell Benefits Manager, the Support Assistant will be part of a team of professionals who help deliver the benefits of Labor-Management Trusts. The Support Assistant is responsible for supporting Carewell Benefits program activities including processing participant paperwork, screening and directing walk-ins and telephone callers, and assisting in enrollment and education efforts.

Essential Functions

You will carry out general administrative duties that include, but are not limited to: 

  • Process participant paperwork through paper and online systems and databases
  • Manage voicemail and phone systems
  • Screen and direct walk-ins and telephone callers, provide general information, and take clear, concise messages
  • Assist in enrollment and education efforts, including sending emails for paperwork collection and other campaigns 
  • Refer questions to the appropriate entity
  • Maintain office filing systems/server systems; maintain database records; maintain inventory and related records utilizing appropriate administrative, physical and technical safeguards in compliance with HIPAA and HITECH
  • Prepare, maintain, and take down meeting rooms for participants and/or staff meetings
  • Coordinate communication to participants on a variety of topics and process mail regarding people’s health care
  • Schedule participants for health insurance enrollment appointments by phone and email
  • Attend training and staff meetings periodically 
  • Provide photocopying, faxing, scanning, and other equipment support for staff
  • Maintain schedules for meeting rooms in the office; maintain organized work space, breakrooms, front desk area, and materials
  • Distribute incoming communication to the appropriate staff (i.e. mail, fax, emails, voicemails, etc.)
  • Prepare flyers/newsletters (determine formats, lettering, desk-top publishing, etc.) and assist staff in coordination and preparation of materials
  • Process outgoing mail
  • Develop core competencies in all aspects of the Trusts, to include, but not limited to Affordable Care Act, Medicaid, and Medicare
  • Work with and protect sensitive and confidential information using appropriate administrative, technical, and physical safeguards in compliance with HIPAA and HITECH
  • Work with diverse communities, including members from different socioeconomic, racial, religious, and language backgrounds including members who identify as LGBTQQI

Knowledge, Skills, and Abilities

  • Excellent communication skills required
  • Bilingual fluency preferred (Spanish or Russian)
  • Demonstrated commitment to health care and empowering workers
  • Self-motivated with ability to work well independently and with a team, as well as think quickly on your feet
  • Ability to pass a background check and federal authorization process in order to work with information that enrolls people in the Affordable Care Act
  • A commitment to advancing the voices and conditions of Oregon’s homecare and personal support workers
  • An established home workspace that is HIPAA compliant is required while temporarily remote due to COVID-19 
  • Ability to support RISE’s organizational values of Respect, Integrity, Service, and Equity in the development and delivery of your work including demonstrated positive interactions with staff, vendors, the consumers we support, and other organizational stakeholders


  • Experience with administrative duties

Supervisory Responsibilities

This position is not responsible for supervising other staff members.

Working Conditions

  • Readiness to work occasional long hours, weekends
  • Able to travel between worksites and/or meeting locations within the state within the extent possible related to State of Oregon mandated social distancing guidelines
